Transparent cancellation workflow, strict non-returnable biological inputs policy, and 48-hour transit exchange protocols.
1. Order Cancellation Policy & Stage Locking
We understand agricultural planning may change due to weather variations or field schedules. Our dispatch platform follows strict sequential fulfillment locks:
- Cancellation Before Packing (Customer Dashboard): You may cancel your order at any time directly from your Customer Dashboard strictly before the order moves to PACKING.
- Locking Once Packing Commences: Once warehouse staff begin custom batch packaging, bag sealing, and barcode assignment, customer-end cancellation is locked to safeguard certified packaging, precise tare weight, and seal integrity.
- Admin Support Cancellation (Till Dispatched): If an emergency cancellation is requested while an order is in PACKING or READY_FOR_DISPATCH, our administrative desk can cancel the order prior to dispatch. This action automatically synchronizes with Shiprocket to cancel the shipment and release courier allocations.
- Strict Post-Dispatch Lock: Once an order is DISPATCHED and physically handed over to the courier partner with an active Air Waybill (AWB), the shipment is in transit and cannot be cancelled or recalled by either the customer or our support desk.
2. Strict Non-Returnable Policy on Agri Bio-Inputs
Notice on Biological Stability & Hygiene Standards:
Sri Sai Baba Bio Fertilizers manufactures active biological inputs — including live bacterial consortia (Azotobacter, PSB, KMB), mycorrhizal inoculants, vermicompost, and organic botanical extracts.
Once a shipment has been delivered to your premises, it is strictly non-returnable. Exposure to ambient sunlight, high temperatures, humidity fluctuations, or unsealed handling during reverse courier transit destroys live microflora and presents contamination hazards. Returns are not accepted for customer change of mind, excess ordering, or crop schedule adjustments.
3. Exchange Patterns & Transit Damage Replacement
While products are non-returnable for commercial reasons, we protect our customers against genuine transit mishaps or packaging defects through our structured Exchange Pattern:
(1) Outer transit leakage or puncture, (2) Broken cap/seal upon arrival, or (3) Incorrect product variant/size delivered.
Damages must be reported within 48 hours of recorded delivery. Claims lodged after 48 hours cannot be entertained.
Mandatory Documentation Required for Exchange:
To prevent fraud and validate courier transit liability, the buyer must share:
- Unedited Unboxing Video: Continuous video recording showing the sealed outer cardboard box, the courier shipping label with readable AWB number, and the opening of the package.
- Photographic Evidence: High-resolution photographs showing the damaged container, leaked liquid, and the manufacturing batch code stamped on the bottle/bag.
- Exchange Resolution: Once validated by our fulfillment team, a replacement unit of the damaged product is dispatched at zero extra cost. We do not issue cash refunds for transit damage; resolution is fulfilled strictly via product exchange.
Wholesale / Bulk Transport Shipments:
For wholesale orders dispatched via road transport carriers (Lorry Transport), any breakage, tear, or missing bags must be noted and endorsed directly onto the transporter's Consignment Note / Lorry Receipt (LR) in the driver's presence before accepting delivery, and reported to our wholesale desk within 24 hours.
4. Refund Processing & Timelines (For Approved Pre-Dispatch Cancellations)
For orders cancelled prior to dispatch in accordance with Section 1:
- Farmer Wallet Credit: Registered customer accounts receive immediate 100% wallet credit restoration upon confirmed cancellation.
- Direct Bank / UPI Reversals: If you requested a reversal to your source bank account, our accounts team initiates the transfer within 3 to 5 business days. The actual credit time depends on your banking institution.
- Rejected / Unverified Orders: Orders that fail manual payment verification or are rejected during verification incur zero charge.
